Cancellation terms may vary depending on the specific tour, activity, accommodation, transport service, or third-party supplier involved.
The cancellation conditions applicable to your booking will be communicated during the booking process where different supplier conditions apply.
Unless otherwise stated in your booking confirmation, the following general cancellation schedule applies:
| Cancellation Period | Refund |
|---|---|
| More than 30 days before the activity | 100% refund, less any non-refundable charges |
| 15–30 days before the activity | 75% refund |
| 7–14 days before the activity | 50% refund |
| Less than 7 days before the activity | No refund |
| No-show | No refund |
Important: Certain activities, accommodation bookings, special arrangements, permits, park fees, flights, or third-party services may have stricter cancellation conditions and may be non-refundable.
2. How to Cancel a Booking
All cancellations should be submitted to ZamWander Safaris in writing by email or through an agreed communication channel.
Cancellation requests should include:
- Booking name
- Booking reference, where applicable
- Tour or activity booked
- Travel date
- Reason for cancellation, where appropriate
The cancellation date will normally be considered the date on which we receive the written cancellation request.
We recommend that clients request confirmation that their cancellation has been received.
3. Refunds
Where a refund is applicable, ZamWander Safaris will process the refund after determining the amount refundable under the applicable cancellation terms.
Refunds may be subject to:
- Non-refundable supplier charges
- Park or conservation fees
- Accommodation cancellation charges
- Payment processing fees
- Bank charges
- Currency conversion differences
- Other costs already incurred in connection with the booking
Refunds will normally be made using the original payment method where reasonably possible.
The time taken for a refund to appear in the client’s account may depend on the payment provider or financial institution.
4. Non-Refundable Services
Certain services may be non-refundable once booked or paid for.
These may include, depending on the supplier:
- Accommodation
- Flights
- Park or conservation fees
- Special permits
- Helicopter flights
- Adventure activities
- Prepaid transportation
- Third-party services
- Special events
- Last-minute bookings
Where a service is non-refundable, this will be communicated to the client where possible before payment or confirmation.
5. Changes to Travel Dates
Clients may request to change their tour or activity date.
Date changes are subject to availability and the applicable supplier’s conditions.
We will make reasonable efforts to accommodate date changes. However, a change may result in:
- Additional charges
- Supplier amendment fees
- Different seasonal rates
- Loss of the original booking
- Cancellation charges where the requested change cannot be accommodated
Clients should contact us as early as possible if they need to change their travel dates.
6. Cancellation by ZamWander Safaris
ZamWander Safaris may cancel or modify a tour or activity when necessary due to circumstances beyond our reasonable control or where proceeding would be unsafe or impractical.
Such circumstances may include:
- Severe weather
- Unsafe river conditions
- Flooding
- Wildlife or park-related safety concerns
- Road closures
- Government restrictions
- Border closures
- Natural disasters
- Supplier cancellations
- Equipment or vehicle failure
- Flight disruptions
- Other unforeseen circumstances
Where reasonably possible, we will offer:
- An alternative date;
- An alternative activity or service; or
- A refund in accordance with the applicable booking and supplier conditions.
7. Weather-Related Cancellations
Many activities around Victoria Falls and the Zambezi River are affected by weather and natural conditions.
If an activity operator, guide, park authority, pilot, or other responsible provider determines that an activity cannot safely operate, the activity may be cancelled, postponed, shortened, or modified.
Where an alternative date or activity is offered, the client may choose from the available options.
Refund eligibility will depend on the circumstances and the applicable supplier’s cancellation policy.
8. Wildlife and Safari Activities
Wildlife sightings cannot be guaranteed.
Failure to see particular animals, including elephants, lions, rhinos, hippos, or other wildlife, does not qualify for a refund.
Safari activities may be modified due to animal movements, weather, park regulations, road conditions, or safety considerations.
9. Late Arrival and Missed Activities
Clients are responsible for arriving at the agreed pickup point on time.
If a client is late or fails to arrive for a scheduled tour, the booking may be treated as a no-show.
No refund will normally be provided for:
- Missing a scheduled pickup
- Arriving after the tour has departed
- Missing an activity due to personal delays
- Failure to check the agreed pickup time
- Incorrect or outdated contact information supplied by the client
Where possible, we will try to assist with alternative arrangements, which may incur additional charges.
10. Airport Transfers and Flight Delays
Clients must provide accurate flight information when booking an airport transfer.
If a flight is delayed or rescheduled, clients should notify ZamWander Safaris as soon as possible.
We will make reasonable efforts to adjust the pickup time where operationally possible.
Additional charges may apply where a significant change results in additional waiting time, vehicle requirements, or other costs.
11. Border Crossings and Immigration
For tours or transfers involving Zambia, Zimbabwe, Botswana, or other countries, clients are responsible for having the correct passports, visas, permits, and travel documents.
Failure to meet immigration or border requirements does not automatically qualify for a refund.
Border delays and decisions made by immigration or government authorities are outside the control of ZamWander Safaris.
12. Cancellation Due to Personal Circumstances
Refunds for cancellations caused by personal circumstances are subject to the applicable cancellation schedule.
Examples include:
- Illness
- Flight cancellation
- Change of travel plans
- Family emergencies
- Missed flights
- Personal reasons
- Changes in accommodation
Clients are strongly encouraged to obtain travel insurance that covers these circumstances.
13. Travel Insurance
ZamWander Safaris strongly recommends comprehensive travel insurance.
Travel insurance should ideally cover:
- Trip cancellation
- Medical expenses
- Emergency evacuation
- Flight delays and cancellations
- Lost or damaged luggage
- Missed connections
- Adventure activities
- Other unexpected travel expenses
Travel insurance may provide protection where a cancellation falls outside our refund conditions.
14. Group Bookings and Customized Itineraries
Group bookings, private safaris, customized itineraries, accommodation packages, and special arrangements may have different cancellation conditions.
Because these bookings may involve advance payments to multiple suppliers, cancellation charges may be higher.
The specific cancellation conditions will be provided with the quotation or booking confirmation.
15. Third-Party Supplier Policies
Some services arranged through ZamWander Safaris are operated by independent third-party providers.
These may include:
- Hotels and lodges
- Transport companies
- Boat operators
- Helicopter operators
- Adventure activity providers
- Safari operators
- Airlines
- Other tourism suppliers
Where a third-party supplier has its own cancellation policy, that policy may apply to the relevant service.
16. No-Show Policy
A no-show occurs when a client does not appear for a confirmed tour, activity, transfer, or other service without providing prior notice.
No-shows are generally non-refundable.
This includes situations where a client:
- Does not arrive at the agreed pickup location.
- Misses the scheduled departure.
- Provides incorrect pickup information.
- Is unable to participate because of personal circumstances.
- Decides not to participate after the service has commenced.
17. Partial Participation
If a client voluntarily chooses not to participate in part of a booked tour or activity after the service has started, no refund will normally be provided for the unused portion.
Exceptions may apply where the activity is cancelled or discontinued by ZamWander Safaris or the relevant operator.
18. Refund Processing
Approved refunds will be processed as soon as reasonably practicable after the applicable refund amount has been confirmed.
The actual time for funds to reach the client’s account depends on the payment method and financial institution.
ZamWander Safaris is not responsible for delays caused by banks, card providers, payment platforms, or other financial institutions.
19. Policy Changes
ZamWander Safaris reserves the right to update this Cancellation and Refund Policy from time to time.
The latest version will be published on this page with the applicable update date.
The cancellation conditions applicable to a confirmed booking will generally remain subject to the terms provided at the time of booking.
